Privacy Policy: Khatavahi Business app

This policy explains how the Khatavahi Business Android app ("the app") handles information. The app is made by Khatavahi BI Solutions LLP, Pragati IT Park, C-2/716, Sudama Chowk, Mota Varachha, Surat, Gujarat 394101, India ("we"). For our website, see our website privacy policy.
How the app works
Each business using the app has its own Khatavahi Business account, which we host on our servers. You sign in with the account address, user name and password we give your business. Everything you do in the app, such as bills, payments, stock, customers and warranty claims, is saved in that account on our servers.
Your business owns its records. We keep and process them on your business's behalf, only to provide the service, under our agreement with your business.
Information the app handles
- Sign-in: the account address and your user name. Your password is sent to our servers only to sign you in and is not stored on the phone. The server returns an access token, which the app keeps in the phone's secure storage to keep you signed in.
- Business records you enter or open: customers, suppliers and their names, phone numbers, addresses and GSTINs; items, prices and stock; bills, payments, expenses, returns and warranty claims. These are sent to and stored in your business's account on our servers.
- Photos you choose: photos of expense bills or items, uploaded to your business's account.
- On the phone only: your app lock PIN (stored as a salted hash, never the PIN itself), whether fingerprint unlock is on, printer settings, language choices and lesson progress.
Permissions
- Camera: to scan barcodes and serial numbers, and to take photos of bills and items.
- Bluetooth: to find and print to a Bluetooth receipt printer.
- Fingerprint (biometric): to unlock the app. Your fingerprint is checked by Android and never reaches the app or us.
- Internet: to reach your business's account on our servers.
What we don't do
- No advertising, and no advertising or analytics tools in the app.
- We don't sell your information or share it with anyone for their own use.
- The app does not read your contacts, messages, call logs or location.
WhatsApp, printing and sharing
When you choose to send a bill, an offer or a reminder on WhatsApp, or share a PDF, the app hands it to WhatsApp or the app you pick, and you send it from there. Those apps' own privacy policies apply. A UPI QR code only opens the customer's own UPI app; the app does not handle payments.
Security
The app talks to our servers over HTTPS. The login token is kept in the phone's secure storage, and the app can be locked with a PIN or fingerprint. Each person sees and does only what their login allows.
Keeping and deleting information
We keep your business's records for as long as your business uses the service, and as our agreement with your business says after that; accounting rules may require keeping bills for several years. Logging out or uninstalling the app removes the token and settings from the phone. To delete a user account or your business's data, ask your business's administrator, or write to us at [email protected].
Children
The app is meant for businesses and is not directed at children under 18.
Changes
If this policy changes, we will update this page and the date at the top. Significant changes will also be noted in the app's release notes.
